Hello everybody, welcome to the Five Minutes PM Podcast. Do they elect to discuss with you the thing that back process in the Communications? So in all communication, there is a huge misperception of how we communicate. A lot of people think that communication is only written in the text or speech, but we need to make sure that the order we will understand properly. And let's take a look at the framework, work of how Communications happens in the project environment.
Look; first, I have an idea. I codify the idea interesting for me; it is a message, and the message can be a taxed, a graph, a diagram, a drawing, a speech or a PowerPoint presentation. And this will be the message, and to proves form ideas into messages. I use a personal screen. So I put my personality into this document and how I do this.
I do this, or is it on my values? The way I was educated, the beliefs, the things that and I believe are right, the things that I believe are not right. So when they bought an emphasis in a message is a strong accent or a strong red ball, or a very light pink, I can translate this into different things.
And one thing that I need to make sure is that is the receiver perceives the message in the same way I codify we are using the same keys today, luck and luck to transform ideas into messages and to transform back the message into ideas then the recipient area. And this is very important because not always the recipient will have the same beliefs, the same screen, In perception based on our personalities.
So maybe I can translate my ideas into a message, and the recipient can translate this back. This message back into the idea in this field of experience in a completely different way. So I can say good things, and he or she can understand in a very bad way. And because of that, that I need the Feedback process. Most project managers don't care too much about the feedback process.
I just prepared the report in poop on the table of my sponsor or published this on the web. And this becomes the problem of the recipient. And this is not right. I need to make sure that the recipient will receive this message will do. And he called the fight properly and will send another message to me regarding his or her understanding of one of the processes. This is the Feedback. So when I'm a recipient, I need to make sure that I'm given the proper feedback to someone that prepares the report or a pit there.
This speech is the PowerPoint for me. And this feedback is just to confirm from the end to make sure that we are all on the same page, where you are all talking about the same, and we all have the same perceptions; without this, there will be a failure in the communication process. This is why I talk too much about communication, and communication is everything because we are working in teams and the team's in the product teams, which is usually not composed that by people that are equal, we're not talking about the team that have the same beliefs.
We're talking to a very diverse team; let's think in product development; I'm talking with marketing with people, people in sales, people, engineers, procurement, the lawyers and everybody. And I need to make sure that everybody is on the same page regarding the project; because of that, that Feedback is so important. I need to prepare to send this to my procurement area, and I need to receive feedback from them that they received that.
And they understood what I meant with the yellow dot inside the graph. I need to make it true because, for me, it's clear, but not always for everybody is so clear. So I need to make this. So I need to take care. So if I'm the recipient, I need to make sure that I will give proper Feedback. If I'm a seller, I need to make sure that I will look for feed the back from the other part to make a good communication process in a void project.
Failure is based on poor communication. This is the key topic. Feedback reduces the risk of poor communication in the project environment. Let's think about that. I hope you enjoyed this podcast. See you next week with another five minutes BM. Podcast. Bye. Bye.
